A customer doesn't always visit your website, call your business, or walk through your front door before deciding whether to work with you. Sometimes, the first real interaction happens in a comment, a Facebook message, or an Instagram DM.
That conversation matters. According to Sprout Social's 2026 research, 55% of consumers would rather send a business a direct message than make a public complaint. The same research found that 68% expect a response within 24 hours, with many expecting one much sooner. Meanwhile, Meta's 2026 State of Business Messaging report found that 73.3% of surveyed consumers across 22 markets prefer messaging when communicating with businesses. Social media is not just where people discover businesses. It is increasingly where they ask questions, evaluate trust, and seek help.
Meta already provides tools to help businesses manage those conversations. Meta Business Suite Inbox brings messages from connected Facebook Pages, Instagram accounts, and WhatsApp Business accounts into one place. You can review conversations and respond without constantly switching between apps. Instagram professional accounts also offer saved replies, allowing you to prepare answers to common questions and insert them into conversations instead of typing the same information repeatedly. These tools do not replace personal customer service. They make it easier to stay organized and respond consistently.
Think about the questions your business receives every week. What are your hours? Where are you located? How much does something cost? Do you offer custom work? How do I place an order? A customer asking one of these questions is giving you an opportunity to help them take the next step. Leaving that message unanswered can create uncertainty. A quick, useful response can build confidence before the customer ever makes a purchase. You do not need to be online every minute, either. Set realistic response expectations, check your inbox regularly, and make sure someone is responsible for following up.
Use these questions to your advantage, if a customer asks if your open today, let them know “yes” your open and here are todays specials or here is a deal we’re having today. Or make sure they know your hours, “yes were open M-F 9am - 10pm”. Anyone taking their time to find you on social media, and send you a message is interested in your business.
What This Means for Your Business
Treat your social media inbox like another customer-service channel, not an afterthought. Check the platforms where your customers actually contact you. Use saved replies for routine information, but personalize the conversation when someone has a specific question. If a customer raises a complicated issue publicly, acknowledge it appropriately and move the details into a private conversation when necessary. Most importantly, don't confuse sending a quick reply with solving the customer's problem. The goal is to help the person, not simply clear the notification.
Today’s 5-Minute Task
Connect: Open your Facebook and Instagram inboxes. Find one unanswered customer question, comment, or message and respond to it. Then identify one question you answer repeatedly and create a saved reply or draft a reusable response for next time.
Note: Instagram has a section called “Saved Replies” and it could be a real game changer for answering the same questions every day.
Go to your messages, click on any recent message and see in the bottom left corner a chat bubble with 3 dots, click on that and from there you can add, edit or delete any saved replies.

Social media should actually be social. That means showing up for the conversations, not just publishing content and hoping someone notices. A thoughtful response can be the beginning of a customer relationship that lasts long after the post disappears from someone's feed.
If you made it this far in the article and want to use instagrams saved replies a little further to help build up your business, create a welcome message for any new follower you get, they follow, you message something like “Thank you for following our business, we are open 7 days a week from 9am - 5pm. We’re located between Social St. & Winning Ave. Need any help answering any questions don’t hesitate to reach out.” Be creative, engaging and helpful. It quickly establishes your active and available, the info is not available at their fingertips (and they dont even have to ask for it) and you now have a spot in their inbox with your name on it. The resource of all those combines we believe is very valuable. Hope this helps.
